January 2010 Annual Membership Meeting

Members present: Travis Richardson, Dale Everett, Trent Siegle, Karen Vondemkamp, Tim Vondemkamp, Frank Siegle, Tyson Powell, Willie Hicks, Chris Meyer

President Travis Richardson called the meeting to order. Members reviewed the financial statements prepared by the treasurer with special note given to the fact that the club still owes the city recreation department $1800 for the purchase of the targets. A report was given by Travis and Karen about the City Recreation meeting they attended earlier in the evening. An agreement was reached between all parties for the remainder of the balance to be paid off by October of 2011. It was also agreed that monthly reports will be given to the city recreation director following each shoot and a financial statement will be presented to the city recreation board at the end of the season.

The next item of business was the discussion of the upcoming year's shooting schedule. It was decided to continue to haves each shoot on the first weekend of the month to try to avoid conflict with other club's shoot dates and to maintain consistancy in our own shoot dates. Discussion about the lack of success of the raffles lead to the decision to do away with the raffles at the spring fling and the whitetail warmup. Instead either only one item will be raffled off, or special prizes will be awarded at the end of the year for highest scoring turkey, doe, and buck. Travis will check with the owners of S & S Outfitters about the possibility of offering gift certificates or other items from the store for these prizes. Discussion will continue at a later meeting once this is done. A plaque will also be made for the first place prize for the cub class in addition to the other classes.

The next order of business was the annual election of officers. Travis Richardson was nominated as president, Trent Siegle as vice president and Karen Vondemkamp as secretary/treasurer. With no other nominations made the slate of officers was accepted by a unanimous vote. Board positions were also filled with Tyson Powell and Dale Everett returning to the board. They will be joined by Willie Hicks and Chris Meyer as new board member each to serve a one year term.

There was discussion about having a range work day and burn day in mid April so that the range could be cleared of unwanted brush and dirt could be moved in behind some of the lanes. No date was set for the work day, however, since the weather will play a role in when the best time will be. Members will be called at a later date to be notified of the work day.

Other new business included setting up a calling tree to notify members of important information, signing up to man the shack at the shoots, and continuing to reward members who help set up and tear down by allowing them to shoot free the next shoot that they attend. As a way to help boost membership, it was suggested to give away a free membership at the upcoming NWTF banquet as a bucket prize and to make arrangements with the 4H clubs to use the range for their archery lessons for the youth.

Concerns about the need for a new lawn mower for the range and the possibility of purchasing a few trimmers to use on the lanes were also discussed. These will be looked into with action to be taken once sufficient funds are available. Rental equipment will also be purchased as well as repair equipment to be made available for participants.

It was decided that the club should no longer provide concessions other than drinks for the shoots due to the time constraints it places on the members in charge of cooking. Effort will be made to encourage local organizations to provide the concessions instead with the exception of the Bow Givaway shoot.
